TERMS AND CONDITIONS

Please read all terms and conditions carefully. Payment of deposit or participation implies that you understand and agree with these conditions.

PAYMENT

A $500 trip deposit is non-refundable and is included at the time of booking. The balance of the trip fee must be paid no later than 60 days prior to trip departure date. If team member does not pay within this period, his or her place on the team may be cancelled and the deposit forfeited. Immediate full payment is required if traveler joins the team within 60 days of the departure date. New team members will be accepted only until 14 days before departure date. Those joining within 30 days of travel will be charged a $250 administration fee.

CHANGES AND CANCELLATION FEES

  • 31 – 60 days before departure – forfeiture of 50% of trip fee

  • 0-30 days before departure – forfeiture of 100% of trip fee

TRAVEL DOCUMENTS

The following must be submitted to IEP no later than 60 days prior to departure date:

  • A fully completed IEP volunteer application

  • A copy of the information page of traveler’s passport, valid for 6 months after departure date

  • A copy of the COVID-19 vaccination card showing a complete FDA approved vaccine

  • Signed release of liability with COVID-19 addendum

Failure to submit these documents could result in trip cancellation and forfeiture of deposit.

Please ensure that you carefully read your tickets and all other documents we send you as your receive them and contact us immediately if any information appears to be incorrect. We will not accept any liability if you fail to notify us of any inaccuracy in any document within 7 days of us sending them to you.

DIETARY REQUIREMENTS

Any dietary requirements must be included in the application and submitted no later than 60 days prior to departure. While we make every to comply with health-related dietary restrictions, we cannot guarantee that any special dietary requirements will be met.t.

TEAM MEMBERS’ RESPONSIBILITY AND BEHAVIOR

You will not be permitted to embark or continue on the trip if your mental or physical condition is, in the reasonable opinion of the team leader, such as to render you incapable of caring for yourself, or where you become objectionable to other team members or staff, or where you have engaged in any illegal activity during a trip. We will not be responsible for expense resulting in you being precluded from completing the trip for any reason, nor will we refund any part of your trip cost. We will have no obligation to arrange for your return to the point of your departure.

FLEXIBILITY DURING TRIPS

Every effort will be made to operate all teams as planned, but there may be a necessity to vary the itinerary from that stated in the materials. The need for a flexible attitude to this type of travel is important. The team leader as appointed by IEP will make all decisions relating to the trip itinerary.

TRAVEL POLICIES AND PROCEDURES

The following Travel Policies and Procedures have been developed based on guidance and directives from health authorities, governments in the U.S. and other countries, and medical and public health experts. All volunteers must read and comply with these Travel Policies and Procedures at all times. The content of such policies is subject to change without notice due to evolving COVID-19 recommendations and requirements. 

Volunteers must familiarize themselves with the Travel Policies and Procedures in effect at the time of departure as well as any follow up communications and updates provided. Guests must familiarize themselves, acknowledge, and accept the Public Health risks associated with humanitarian medical activities, including COVID-19  

OPTIONAL ACTIVITIES AND EXCURSIONS

Neither International Esperanza Project nor its employees make any representation or warranty in relation to implied or explicit suggestions or recommendations of services, activities and events not highlighted as included in the trip

BOOKING AND PRIOR TO TRAVEL  

  • Pre-Travel Health Survey: 

    • All volunteers anticipating joining an IEP humanitarian mission trip, must complete a Health Survey. All volunteers will receive an email from IEP seven days before the scheduled date of departure to a health survey that must be completed no later than 5 days prior to departure.    

  • Secondary Screening: 

    • If a volunteer provides information that may put them at risk of being denied participation, they will receive a telephone call for a secondary screening. If the volunteer is deemed to be at risk of having COVID-19, their participation in the mission trip will be cancelled. The volunteer will be offered to re-book the trip to a later date free of charge or cancel in accordance with current policy.  

      • All volunteers accept to immediately contact IEP if at any time between submitting the Pre-Travel Health Survey and the date of travel:  

      • A volunteer develops any symptoms or illness. 

      • If any information in the general medical questionnaire needs to be updated. 

        The volunteer must contact IEP at info@i-ep.org as soon as feasible to convey this information.

TRAVEL PROCEDURES  

  • Reporting Symptoms. Volunteers will be required to report any symptom or illness to the medical team or the team leaders as soon as possible. A medical professional will assess volunteers showing and or reporting symptoms.   

  • There may be additional restrictions while in the country depending on local conditions.  

  • Non-compliance by the volunteer with the Healthcare Protocols Policies and Procedures shall be grounds for the volunteer to be removed from the team and humanitarian mission.  

DOCUMENT RETENTION

Any documents containing medical information provided by guests during any screening or testing may be retained by IEP and, unless otherwise ordered by legal authorities, will be deleted or destroyed after one year has passed since the date of trip completion.

ACCEPTANCE OF RISKS

While IEP has implemented protocols based on advice from medical experts and health authorities, during travel from home, in airports and aircraft, in ground transportation, in hotels, and during humanitarian work, volunteers may be exposed to various health risks or accidents. 

The risk of exposure to health issues or accidents is inherent in most activities where people interact or engage in physical activities, and it is beyond IEP’s control. It cannot be eliminated under any circumstances. Payment of deposit implies that the volunteer accepts this risk. If a participant is unable to continue due to health-related concerns or failure to comply with safety protocols, they will not be entitled to a refund, credit, or compensation of any kind. Volunteers will be responsible for all related costs and expenses, including travel, lodging, medical care, and ensuring proper travel documentation for entry and departure from the U.S. or other destinations. 

USE OF INFORMATION AND PHOTOGRAPHY

By accepting these terms and conditions, you agree that any information, photographs, or other media captured during the trip may not be used for commercial purposes without the express written consent of International Esperanza Project.  This includes,  but is not limited to, selling, licensing, or distributing the media for profit. All media captured during the trip is intended for personal use and may be shared on personal social media accounts, provided it is not used in a manner that implies endorsement or partnership with any commercial entity.

COPYRIGHT AND TRADEMARKS

The works of authorship contained in this website, including but not limited to all design, text and images (the “Materials”), are owned or licensed by International Esperanza Project and may not be copied, reproduced, transmitted, displayed, performed, distributed, rented, sublicensed, altered, stored by subsequent use, or otherwise used in whole or in part in any manner without our prior written consent.  Unless permitted otherwise in writing, you may only access the Materials located within the website for your personal use.  This means you may download copies of Materials for personal, noncommercial use only, so long as you neither change nor delete any author attribution, trademark, legend or copyright notice.  When you download Materials, you do not obtain any ownership rights to the Materials.
